Job Description
- Coordinate office activities and operations to secure efficiency and compliance to company policies.
- Administer or coordinate staff movement and divide responsibilities (roistering schedule) to ensure each task can be done as per planned by the management.
- Manage agendas/travel arrangements/appointments etc. for the upper management.
- Manage phone calls and correspondence (e-mail, letters, packages etc.).
- Support budgeting and bookkeeping procedures.
- Create and update records and databases with personnel, financial and other data.
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
- Track stocks of office supplies and place orders when necessary.
- Submit timely reports and prepare presentations/proposals as assigned.
- Assist colleagues whenever necessary

Job Description
- Oversee the overall management and maintenance of building facilities and common areas.
- Attend to complaints from owners/tenants inquiries service requests and resolve issues promptly, effectively and professionally.
- Ensure timely and efficient collection of service charges and other charges in accordance to company’s procedures, rules, Strata management Act 2013 and other relevant by-laws.
- Work closely with contractors, suppliers and external parties on all issues regarding to the building and ensure optimum performance at all time.
- Report to building management council issues related to facilities and common areas in the building during the management council meetings.
- Manage day to day management and maintenance operations of common areas and facilities.
- Ensure effective implementation of the system and its compliance with relevant acts, laws, rules and regulation.
- To perform HR related matters such as registration staff attendance and leave forms to be submitted to HR Department, and monitor administration work by Admin Staff.
- Coordinate maintenance schedule and assignments with Technician & Handyman, and administer actions plan consistently.
- Report & receive instruction from Account/Building Manager or any other superior assigned by the company.
- Recognized Certificate/Diploma in Electrical, Mechanical, Building Service or Civil with experience in Facility Management for High rise building.
- Building / Facility Management.
- Well verse in Bahasa Melayu and English
- Microsoft Office especially in Microsoft Word & Excel Team Player.
- Good knowledge on how to use a variety of maintenance tools.
- Contribute day-to-day operation and maintenance of the building by attending to all general maintenance and operation issues with specific emphasis on Electrical System, Plumbing System (water supply and sewerage), Fire Protection System, Building Control System, and Air Conditional & Mechanical ventilation system as well as other Building related matters.
- Mechanical, Electrical and plumbing troubleshooting skills.
- Responsible to liaise with and the supervision of suppliers/vendors/contractors for all related servicing/maintenance/repairing and other activities assigned to you from time to time.
- Monitor all renovations works comply the guideline stipulated in the house rules or by law.
- Assist in the liaison with utilities providers such as TNB, DOSH and other government regulatory bodies on utility services and compliance issues
- Preparation of monthly maintenance breakdown and Plan Preventative Maintenance reports.
- Pleasant personality, independent, resourceful, self-motivated, hardworking and able to work as a team. Prepare to work extra time as requested by management.
- Willing to work on a shift basis (if required).
- Report to & receive instruction from BM/BE or any other superior assigned by the company
